Terms and Conditions
By registering with and using the Klient Hub platform you agree to comply with and be bound by the following Terms and Conditions set forth by Klient Hub.
1. Eligibility & Account Registration
1.1. You must be the owner, authorized representative, or administrator of a licensed dental clinic in the United States.
1.2. You agree to provide accurate, complete, and current registration information.
1.3. You must maintain updated licensure and accreditation in accordance with state and federal laws.
2. Platform Use & Service Description
2.1. Klient Hub provides a digital platform for connecting Dental Clinics with patients.
2.2. The Service includes credit purchase, lead viewing, and direct communication with leads.
2.3. Klient Hub does not guarantee patient engagement, appointment bookings, or outcomes from purchased leads.
3. Sales and Returns
3.1. Clients purchase non-refundable credits to access patient leads.
3.2. Each lead typically requires 1 credit, unless otherwise stated.
3.3. Credit prices are clearly disclosed at the point of sale. Bulk packages may be offered at a discounted rate.
3.4. All payments are processed via secure third-party payment processors.
3.5. All sales are final; no dollar refunds are granted.
3.6 Replacement credits are granted upon submission of evidence that the lead sold has an invalid email or phone number.
4. Lead Access & Communication
4.1. When you purchase a lead using credits, you gain access to the lead’s contact information (phone and email).
4.2. For best results, please contact leads professionally within 60 minutes. Each lead is shared with up to four other qualified professionals to ensure timely service—never at the expense of lead quality.
4.3. Misuse of lead information (e.g., spam, unrelated offers, or harassment) will result in account suspension and possible legal action.
5. Subscription Management
5.1. You are responsible for managing your clinic’s subscription plan, credits, and billing preferences via your dashboard.
5.2. Only the original account creator (“Master Admin”) may cancel or modify subscriptions.
5.3. Subscription cancellations will take effect at the end of the current billing cycle.
6. Compliance & Professional Standards
6.1. Clients must comply with HIPAA, state dental board regulations, and all relevant federal and state laws.
6.2. You agree not to misrepresent your credentials, services, or availability.
6.3. Klient Hub reserves the right to verify licensure or credentials at any time.
7. Account Suspension & Termination
7.1. We reserve the right to suspend or terminate your account for violations of these Terms, misrepresentation, misconduct or any other issue we deem to be detrimental to our service or clients.
7.2. Suspension may occur without prior notice in cases of fraudulent activity, data misuse, or patient complaints.
8. Intellectual Property
8.1. All content on the Klient Hub platform—including logos, design, software, and proprietary systems—is owned by or licensed to Klient Hub.
8.2. You may not copy, reuse, or reproduce any portion of the platform without prior written consent.
9. Limitation of Liability
9.1. Klient Hub is not liable for:
Inaccurate or incomplete lead data.
Failure to convert leads into appointments or revenue.
Any indirect, incidental, or consequential damages.
9.2. The platform is provided “as is” without warranty of any kind, express or implied.
10. Privacy
10.1. Your use of the platform is also governed by our Privacy Policy.
10.2. All lead and user data must be handled with confidentiality and in accordance with applicable privacy laws.
11. Amendments
11.1. Klient Hub may revise these Terms at any time. Updated versions will be posted on our website and take effect immediately.
11.2. Continued use of the Service after changes constitutes acceptance of the new Terms.
12. Governing Law and Dispute Resolution
12.1 These terms shall be governed by and construed in accordance with the laws of the State of Maryland, without regard to its conflict of law principles.
12.2 In the event of any dispute, controversy, or claim arising out of or relating to these Terms, the parties agree to resolve such disputes through Alternative Dispute Resolution (ADR) procedures as outlined below:
12.2.1 The parties shall first attempt in good faith to resolve the dispute through informal negotiation within 30 days of written notice by one party to the other.
12.2.2 If the dispute is not resolved through negotiation, the parties agree to submit the matter to mediation administered by a mutually agreed-upon neutral third-party mediator located in Maryland. The costs of mediation shall be shared equally.
12.2.3 If mediation fails to resolve the dispute within 45 days of the mediator’s appointment, the matter shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association (AAA) or another agreed-upon arbitration body. The arbitration shall be conducted in Maryland, and the decision of the arbitrator shall be final and binding on all parties.
12.2.4 Each party shall bear its own attorney’s fees and costs associated with the ADR process unless otherwise awarded by the arbitrator.
12.3 Class Action Waiver: To the fullest extent permitted by applicable law, all disputes must be brought on an individual basis, and class actions, class arbitrations, or representative actions are not permitted. The parties agree to waive any right to bring or participate in a class, consolidated, or representative action or arbitration.
12.4 Notwithstanding the foregoing, either party may seek temporary or preliminary injunctive relief from a court of competent jurisdiction in Maryland when necessary to protect its rights pending the outcome of ADR.
