Terms and Conditions of Service
Effective Date: January 7, 2026
These Terms and Conditions (“Agreement”) govern your use of the Klient Hub platform and related services (the “Service”). By registering for and/or using the Service, you agree to be bound by this Agreement. If you do not agree, you may not access or use the Service.
1. Definition
“Client” means a dental clinic or other entity that subscribes to or uses the Service.
“Service” refers to the Klient Hub digital platform, which connects clients with potential patients, including lead access, appointment booking, and related functionalities.
The “Monthly Booking Package” refers to a pricing plan of $2,500 per month, with a guarantee of up to 12 confirmed booked appointments.
2. Eligibility and Registration
2.1 You must be the owner, authorized representative, or administrator of a licensed dental clinic or equivalent professional entity.
2.2 You agree to provide truthful, accurate, and up-to-date information in all registration information.
2.3 You are responsible for maintaining the confidentiality of your login credentials.
3. Services and Pricing
3.1 Klient Hub offers various service options, including but not limited to:
- Leads (Basic and Qualified) at stated prices.
- Booked Appointments, including the Monthly Booking Package at $2,500/month with up to 12 guaranteed booked appointments.
3.2 Pricing is as published on the pricing page. You authorize Klient Hub to automatically charge your selected payment method for all fees due.
3.3 All fees are exclusive of taxes, which are your responsibility.
4. Monthly Booking Package — Prorated Refund
Under the Monthly Booking Package, Klient Hub aims to deliver up to twelve (12) booked appointments during each monthly billing period.
4.2 Prorated Adjustment:
If fewer than twelve (12) booked appointments are delivered within a billing period, you will be eligible for a prorated refund or account credit calculated using the per-appointment unit rate of $208.33 ($2,500 ÷ 12).
4.3 Refund Calculation:
The prorated refund or credit is calculated as follows:
$2,500 − ($208.33 × number of booked appointments delivered)
Example: If nine (9) appointments are delivered, the refund equals:
$2,500 − ($208.33 × 9) = $625.
4.4 Refund Timing & Method:
Any applicable prorated refund or credit will be issued within thirty (30) days after the close of the applicable billing cycle, either to the original payment method or applied toward future fees, at your election.
At Klient Hub’s sole discretion, any unused or prorated refund credit may be applied to a future billing period instead of a cash refund.
5. Billing, Renewal & Cancellation
5.1 Billing:
Fees are billed in advance every month unless otherwise stated.
5.2 Automatic Renewal:
Plans automatically renew at the end of each billing period unless canceled before the renewal date.
5.3 Cancellation:
Clients may cancel subscriptions via their dashboard or by contacting support. Cancellation takes effect at the end of the current billing period; you remain responsible for all fees through that date.
6. Payment Terms
6.1 Payment must be made with a valid credit card or other payment methods accepted by the platform.
6.2 If automatic billing fails, we may suspend your service until payment is resolved.
6.3 All payments are non-refundable except as provided in Section 4 for prorated Monthly Booking Package refunds.
7. Client Obligations
7.1 Clients must comply with all applicable laws and professional standards (e.g., HIPAA and state dental practice regulations).
7.2 You agree not to misuse leads, including spamming or unauthorized distribution of contact data.
8. Intellectual Property
All content, software, trademarks, and materials on the service are owned by Klient Hub or its licensors. Clients are granted a limited, non-exclusive license to use the service in accordance with this Agreement.
9. Limitation of Liability
Klient Hub is not liable for indirect, incidental, or consequential damages resulting from your use of the Service. Klient Hub does not guarantee specific lead outcomes or business results.
10. Indemnification
You agree to indemnify and hold Klient Hub, its officers, employees, and agents harmless from any claims arising from your use of the service or breach of this Agreement.
11. Data Privacy
Your use of the platform is governed by the Klient Hub Privacy Policy, incorporated herein by reference.
12. Amendments
Klient Hub may update these Terms at any time. Updated versions take effect when posted online; your continued use constitutes acceptance.
13. Governing Law and Dispute Resolution
This Agreement is governed by the laws of the State of Maryland. Any dispute shall first be addressed through informal negotiation, then mediation, and if necessary, binding arbitration.
